Facilities Manager – Soft Services

Classification:  Institutional Support

Reports to:      Director of Facilities

The Facilities Manager – Soft Services will be responsible for the housekeeping and site cleaning operation, waste management, pest control, and administration of different projects. They will create and maintain schedules for staff and procedures associated with soft services delivery and completion. The Facilities Manager – Soft Services also oversees all third-party activities associated with soft services performed for the AIU Campus.

This position is deeply involved with continuous quality improvement and the establishment of guidelines and protocols focusing on consistent improvement of the delivery of services by third-party vendors and subcontractors. They also serve as the front-line troubleshooters in anticipating and identifying potential problems and acting quickly to resolve them. And finally, they must create and present reports to management as well as for third-party vendors and subcontractors.

Duties:

  1. Manage and oversee contracted cleaning services and staff
  2. Coordinate and schedule projects with the Facility Manager
  3. Work with outside vendors and contractors, as required
  4. Manage the landscaping contractors for AIU
  5. Daily inspection of premises for cleanliness and hygiene and take corrective actions as and when required
  6. On-time submission of daily, weekly, and monthly reports.
  7. Responsible for training and replacement of the staff.
  8. Develop an annual plan that includes the forecasting of consumables.
  9. Maintain a safe environment for all facility, employees, visitors, and staff.
  10. Other duties as assigned by the Director of Facilities.

Skills:

  1. Must possess skills to be able to explain and demonstrate the essential functions of the position
  2. Ability to communicate ideas and information clearly and effectively at all levels within the University in English; must possess effective presentation skills
  3. Excellent verbal as well as written communication skills
  4. Ability of using various scientific rules and methods to solve problems
  5. Expert knowledge of soft services analysis
  6. Ability to detect and solve problems effectively
  7. Ability to work effectively even under pressure
  8. Expert time management skills
  9. Demonstrated proficiency in the use of standard software applications
  10. Demonstrated ability to work effectively with a diverse group of professionals and constituents
  11. Ability to work evening and weekends as required

Experience and Education:

  1. Associates Degree or bachelor’s preferred.
  2. Minimum of three years’ experience in soft services managerial roles.
  3. Demonstrated experiences using computer skills, proficient in Microsoft Word, Excel, and PowerPoint.
